Legal Administrative Assistant
We are seeking a friendly, motivated individual who is detail-oriented, organized and hard working. No legal experience necessary, just a great attitude and a willingness to learn.
Responsibilities Include:
∙ Greet clients and act as initial point of contact for client’s visit to the office
∙ Manage office phones, including answering, screening and forwarding incoming calls and scheduling/confirming client appointments
∙ Maintain office’s electronic client database, including accurately entering new client information and updating client information as needed
∙ Prepare client files and manage filings
∙ Assist with filing and recording of legal documents
∙ Draft cover letters and other brief correspondences to clients
∙ Ensure office stays presentable and appropriately stocked with supplies
∙ Communicate basic and accurate information in-person and via phone/email about office’s location and services
∙ Manage incoming and outgoing mail, including preparing documents for mailing and sorting and distributing daily mail/deliveries
∙ Order front office supplies and keep inventory of stock
∙ Assist with office marketing campaigns, including managing email/mail distributions and client reviews
∙ Perform clerical duties such as printing and collating, photocopying, transcribing and faxing
Requirements:
∙ Proven work experience as a Receptionist, Office Assistant or similar role, with references available
∙ Strong written and verbal communication skills
∙ Bilingual in English and Spanish (ideally, though not required)
∙ Excellent organizational skills and attention to detail
∙ Multitasking and time-management skills, with the ability to prioritize tasks
∙ Friendly, personable and customer service oriented, with a professional attitude and appearance
∙ Ability to be resourceful and proactive when issues arise
∙ Proficiency in Microsoft Office Suite, Windows and Customer Relationship Management (CRM) software
∙ Hands-on experience with office equipment (e.g. computers, printers/scanners and fax machines)
Compensation:
∙ $40,000-$50,000, commensurate with experience
∙ Retirement benefits
