Legal Administrative Assistant

We are seeking a friendly, motivated individual who is detail-oriented, organized and hard working.  No legal experience necessary, just a great attitude and a willingness to learn.

Responsibilities Include:

         Greet clients and act as initial point of contact for client’s visit to the office

         Manage office phones, including answering, screening and forwarding incoming calls and scheduling/confirming client appointments

         Maintain office’s electronic client database, including accurately entering new client information and updating client information as needed

         Prepare client files and manage filings

         Assist with filing and recording of legal documents

         Draft cover letters and other brief correspondences to clients

         Ensure office stays presentable and appropriately stocked with supplies

         Communicate basic and accurate information in-person and via phone/email about office’s location and services

         Manage incoming and outgoing mail, including preparing documents for mailing and sorting and distributing daily mail/deliveries

         Order front office supplies and keep inventory of stock

         Assist with office marketing campaigns, including managing email/mail distributions and client reviews

         Perform clerical duties such as printing and collating, photocopying, transcribing and faxing

Requirements:

         Proven work experience as a Receptionist, Office Assistant or similar role, with references available

         Strong written and verbal communication skills

         Bilingual in English and Spanish (ideally, though not required)

         Excellent organizational skills and attention to detail

         Multitasking and time-management skills, with the ability to prioritize tasks

         Friendly, personable and customer service oriented, with a professional attitude and appearance

         Ability to be resourceful and proactive when issues arise

         Proficiency in Microsoft Office Suite, Windows and Customer Relationship Management (CRM) software

         Hands-on experience with office equipment (e.g. computers, printers/scanners and fax machines)

Compensation:

         $40,000-$50,000, commensurate with experience
